What to expect when you arrive to run your session.
Finding us
We are at 69 Forest Street, Castlemaine.
- The entrance is on Forest Street
- Look for the Common Good Spaces window signage
Access hours
Standard access hours are 8:30am to 5:00pm.
If you need access outside these hours, this should be arranged as part of your booking.
Access arrangements
How you access the venue will be confirmed when you book. Depending on your session, access may be:
- Door code — A unique code for the keypad, valid for your booking period
- Keys — Physical keys provided in advance (you are responsible for their return)
- Venue opened for you — We open the venue before you arrive
- Already open — The venue is open (e.g., retailer or another user already present)
Your booking confirmation will specify your access arrangement. If you're unsure, ask us before your session.
If you have keyed or coded access
If you are opening the venue yourself (with a door code or keys):
- You control who enters — You are responsible for the security of the venue from when you open until you leave
- Close the door behind you — Do not prop the door open or leave it unlocked when the venue would otherwise be unattended
- Be present when attendees arrive — If you are expecting attendees, ensure you or a member of your team is ready to receive them
Escorting attendees
If your session is open to the public or you are expecting attendees who are not known to you:
- Escort attendees through — Meet them at the entrance and escort them to your workshop area
- Do not leave the entrance unattended — The retail area and front of the venue should not be left unattended while the door is open and public attendees may arrive
- Brief your team — If you have helpers, make sure someone is always available to receive arrivals
Shared space security
The venue includes a retail area with stock. If you are controlling access, you are responsible for ensuring the venue is not left open and unattended. See Terms for your responsibilities.
When you arrive

- 3Locate the equipment you need
- 4Arrange the space to suit your session
- 5Conduct a safety check before participants arrive
Setting up
Tables and layout
Tables are foldable and on castors — you can move them to create your preferred layout. See Tables and Layout for configuration options.
Connecting to the TV
The TV can be connected via:
- AirPlay (Apple devices)
- Miracast (Windows devices)
- HDMI cable (most reliable)
You must be connected to the private WiFi network (not the public hotspot) for wireless display to work. See WiFi for details.
Safety check
Before your session starts, walk through your setup and check:
Briefing your attendees
When your attendees arrive, let them know:
- Shared space — The front of the premises may have a retailer operating; please don't touch displays or merchandise unless the retailer is open
- Workshop area — Your session takes place in the back section
- Emergency exit — The exit is at the front of the building onto Forest Street
- Fire extinguisher — Located in the main space (central)
- First aid — Kit is in the kitchenette area
During your session
- You are responsible for managing your attendees and the space
- Keep the space tidy
- Report any issues or damage promptly
- Ensure attendees respect the retail area at the front
Packing up
At the end of your session:
- Return tables and chairs to a reasonable configuration
- Clean any dishes or equipment you used
- Take your rubbish with you or use the bins provided
- Leave the space as you found it (or better)
Setup and pack-down time
Allow time for setup and pack-down within your booking window. If you need extra time, arrange this in advance.
Locking up
If you have been provided keyed or coded access, use this checklist before leaving:
If you are unsure whether you should lock up or someone else will be securing the venue, check with us before your session.
Lighting
Some lights are on automated schedules and do not need to be turned off:
- Ball lights (out the back) — scheduled
- Kitchenette light — scheduled
- Ball light in entrance (if present) — scheduled
These turn off in the evening and back on in the morning automatically.
Lights to turn off when leaving:
- Lamps — turn off to conserve power
- Overhead lights in the entrance and meeting rooms
