Terms and Conditions
These terms apply when you use Common Good Spaces for workshops, classes, or meetings with our permission. Please read them carefully.

Who we are
"Common Good Spaces", "we", "us" means Common Good Castlemaine PTY LTD (the operator of the space).
"You", "the facilitator" means the person taking responsibility for using the space to run a workshop, class, or meeting.
"Participants" or "attendees" means anyone attending your workshop, class, or meeting.
What this is
Common Good Spaces is available for workshops, classes, meetings, and creative projects. If it brings people together to make, learn, share, or try something new — it belongs here.
Shared use
Our spaces are designed for mixed use.
- Not exclusive — Your booking is for the specific areas confirmed at the time of booking, not the entire premises
- Retail at front — The front of the premises may have a retailer operating or displaying their wares during your session
- Respect other users — Please ensure your attendees respect the retail area and do not touch displays or merchandise unless the retailer is open
You are responsible for briefing your attendees about the shared nature of the space.
Restricted areas
The storage room at the back of the premises is out of bounds and no access is granted.
- This area contains equipment that poses safety risks (ladders, tools, etc.)

CCTV
CCTV is in operation at the entrance and retail area for security purposes. By using the space, you and your attendees consent to being recorded in these areas.

The Facilitators Guide and House Rules
Our Facilitators Guide (including House Rules) is part of these terms and applies to all use of the space.
If there is any conflict between the guide and these terms, these terms apply.
Permitted use
With our permission, the space may be used for:
- Workshops and training sessions
- Classes
- Meetings and presentations
- Office-based activities
Attendees
You are responsible for your attendees. For most uses, attendees should be known to the facilitator or registered in advance.
Not permitted
The space is not available for:
- Recreational activities, parties, or social gatherings
- Activities involving minors (under 18) unless agreed in writing with suitable accompanying responsible adult supervision
- Any illegal activity
Not for recreational use
The space is intended for workshops, classes, meetings, and creative projects — not recreational or social events.
Your responsibilities
As the facilitator, you are responsible for:
- The safety and conduct of all attendees
- Ensuring your activity is suitable for the space
- Ensuring all attendees are known to you
- Compliance with these terms and the house rules
- Safe configuration and use of the space
- Leaving the space clean and in good condition
- Any damage caused during your session
- Security of the venue while you control access (see below)
Security
The venue is a shared space that includes a retail area with stock. If you have been provided keyed or coded access, you are responsible for taking reasonable steps to secure the venue while you are present.
Your security responsibilities
When you control access to the venue, you must:
- Keep the entrance secure — Do not prop the door open or leave the venue unlocked and unattended
- Receive attendees appropriately — If your session is open to the public, meet arrivals at the entrance and escort them to your workshop area
- Supervise the entrance — If the door is open and you are expecting public attendees, ensure someone is present to receive them; do not leave the retail area unattended while the venue is open
- Lock up on departure — If you have keys, lock the door when you leave; if you have a door code, ensure the door is closed and latched securely
Theft prevention
You are expected to take reasonable steps to prevent theft from the venue while you control access. This includes:
- Not leaving the venue open and unattended
- Ensuring unknown members of the public are not left unsupervised in the retail area
- Reporting any suspicious activity or theft promptly
Shared space
Because the venue includes retail stock belonging to others, leaving it open and unattended creates a theft risk you are responsible for managing. If theft occurs due to your failure to take reasonable precautions, you may be liable for the loss.
Keys and access credentials
If you are provided keys or a door code:
- Keys must be returned as arranged; you are responsible for their safekeeping
- Door codes are for your use only and must not be shared beyond your team for the booking
- Report lost keys or compromised codes immediately
Safety requirements
General safety
You must:
- Conduct a safety check of your configuration before participants arrive
- Ensure clear access to the exit at all times
- Remove or secure tripping hazards (cables, bags, equipment)
- Use only approved power outlets and surge-protected extension leads
- Brief participants on emergency procedures at the start of your session
Prohibited without prior agreement
The following are not permitted without prior written agreement:
- Machinery or power tools
- Hot equipment (heat guns, soldering irons, hot plates, etc.)
- Open flames or candles
- Aerosols, spray paints, or spray adhesives
- Chemicals or solvents
- Activities that could damage the walls, floor, or fixtures
Safety plans
If your activity involves potential risk (cutting tools, heat, physical activity, chemicals, etc.), you must:
- Prepare a safety plan identifying hazards and mitigation steps
- Provide a copy to us before your booking if requested
- Implement the safety plan during your session
We may refuse or cancel bookings where we consider the activity unsuitable for the space or where adequate safety measures are not in place.
Attendees and supervision
Known attendees only
All attendees must be known to you, the facilitator. You may not advertise the session as open to the general public or allow unknown members of the public to attend.
Adults only (unless agreed)
The space is intended for adult attendees. Activities involving minors (under 18 years) require:
- Prior written agreement from us
- Appropriate supervision by responsible adults at all times
- Compliance with any additional conditions we require
Supervision
You are responsible for supervising your attendees throughout the session. You must ensure attendees:
- Follow the house rules
- Do not damage the space or equipment
- Behave safely and respectfully
Insurance
Public Liability Insurance (PLI)
Unless we agree otherwise in writing, you must hold Public Liability Insurance with a minimum limit of $20,000,000 for any one occurrence, covering your activities at the space.
We may require a current Certificate of Currency before confirming your booking, and you must keep cover current for the full period of your use (including bump-in/bump-out).
When PLI is required
PLI is required if any of the following apply:
- Your session is open to the public or publicly promoted (including social media, flyers, event listings, "open invite", or walk-ins)
- Attendees are not solely employees of a single organisation attending an internal meeting
- You are charging fees (including tickets), accepting donations, or selling goods/services
- You are facilitating a workshop/class/program for external participants (even if participants are known to you)
- Your activity includes higher-risk elements (e.g. physical activity, use of tools/heat/chemicals, temporary installations, equipment brought in, or any activity we reasonably consider higher risk)
- Minors (under 18) will attend (this also requires our prior written agreement and appropriate supervision)
When PLI may not be required
PLI may not be required if ALL of the following apply:
- It is a private internal meeting for one organisation (all attendees are employees/contractors of that organisation)
- It is not publicly promoted and there are no walk-ins
- No fees/donations/sales are involved
- No higher-risk elements are involved
Unsure if you need PLI?
If you're unsure whether insurance is required for your situation, ask us before confirming your session.
Third parties you engage
If you engage any third parties (e.g. guest facilitators, contractors, stallholders, exhibitors, performers, caterers), you are responsible for ensuring they hold appropriate insurance for their activities, and for providing evidence if requested.
Professional services (where applicable)
If your session involves professional advice or services (for example counselling, coaching, therapy-style support, or other professional instruction), we may require you to hold Professional Indemnity insurance appropriate to your services, and provide evidence if requested.
Damage
You are responsible for any damage to the space, fixtures, equipment, or furnishings caused during your session, whether by you or your attendees.
This includes but is not limited to:
- Damage to walls (holes, marks, adhesive damage)
- Damage to furniture or equipment
- Stains or damage to floors
- Breakages
You agree to:
- Report any damage promptly
- Make good on any damage, or reimburse us for repair or replacement costs
Reasonable wear
Normal wear and tear is expected. You are not responsible for pre-existing damage or faults — please report these when you arrive.
Care of the space
Please treat the space with care:
- Do not use nails, screws, or adhesives on walls
- Do not move or adjust fixtures without permission
- Clean up after your session
- Take your rubbish with you or use the bins provided
- Return tables and chairs to a reasonable configuration

Electrical safety
- Use only the power outlets provided
- Do not overload sockets
- Any extension leads or power boards you bring must be surge/overload protected
- No heavy power equipment or high-load appliances without prior agreement
- Cables must not create tripping hazards
Arranging to use the space
How to arrange
Use of the space is by arrangement. Register your interest and we will discuss your needs and whether the space is suitable.
Permission
Permission to use the space is granted when we provide written confirmation (email or other written form). We may decline requests at our discretion.
Access hours
Standard access hours are 8:30am to 5:00pm, or as otherwise agreed.
Cancellations
If you need to cancel
Please give us as much notice as possible if you need to cancel.
Cancellation terms will be confirmed as part of your arrangement.
If we need to cancel
We may need to withdraw permission due to circumstances beyond our control (e.g., maintenance, emergency, safety concerns).
If we cancel:
- We will give you as much notice as possible
- We will refund any fees paid, or offer an alternative date
We are not liable for any other costs or losses you incur due to cancellation.
Fees and payment
Fees and payment terms will be confirmed as part of your arrangement.
- Payment may be required in advance
- GST is excluded unless stated otherwise
Liability
Nothing in these terms excludes any rights you have under the Australian Consumer Law that cannot legally be excluded.
To the extent permitted by law:
- We are not liable for indirect or consequential loss (for example: loss of profit, loss of business opportunity, or loss of goodwill)
- Our total liability to you for any claim connected with your use of the space is limited to the total amount you paid us for the session giving rise to the claim
- We are not liable for loss, damage, or theft of your property or that of your attendees
- We are not liable for injury to you or your attendees except to the extent caused by our negligence
Indemnity
You agree to indemnify and hold harmless Common Good Castlemaine PTY LTD, its officers, employees, and agents from and against any and all claims, damages, losses, costs, and expenses (including reasonable legal fees) arising from:
- Your breach of these terms or the house rules
- Your negligent or unlawful acts or omissions
- The conduct of your attendees
- Damage to the space, equipment, or fixtures caused during your session
- Injury to any person arising from your activity or your attendees' actions
- Any claim by an attendee or third party relating to your activity
This indemnity does not apply to the extent the loss was caused by our negligence or breach of law.
Network and WiFi
WiFi is provided as a shared service.
- We do not guarantee the network will be uninterrupted, secure, or suitable for any particular purpose
- You are responsible for your own device security
- To the extent permitted by law, we are not responsible for loss of data, security incidents, or confidentiality breaches arising from using the network

Privacy

Compliance with laws
You must comply with all applicable laws and regulations in connection with your use of the venue. This includes (but is not limited to):
- Work health and safety laws
- Food safety regulations (if you are providing food)
- Liquor licensing (if applicable — note: alcohol is not permitted without prior agreement)
- Any permits or approvals required for your activity
Right to refuse or withdraw permission
We reserve the right to:
- Refuse permission to use the space at our discretion
- Withdraw permission and require you to leave if you breach these terms, the house rules, or behave in a way that is unsafe, disruptive, or unlawful
If we withdraw permission due to your breach, no refund will be provided.
Changes to these terms
We may update these terms from time to time. The latest version will be published in this guide.
